FaresLocator Travel Agreement & Conditions

Comprehensive Ticket Rules, Passenger Obligations & Agency Terms
Last Updated: January 1, 2026

1. Agreement to Terms

These Terms and Conditions ("Terms", "Agreement") constitute a legally binding agreement between you ("Customer", "Passenger", "Traveler", or "User") and FaresLocator ("Company", "we", "us", or "our"). These Terms govern your access to and use of www.fareslocator.com, our mobile application interfaces, telephone booking desks, and all related booking products and services.

By searching for flights, submitting a booking request, making a telephone reservation, or authorizing payment for any travel itinerary through FaresLocator, you unequivocally agree to be bound by these Terms, together with our Privacy Policy and all operating airline Conditions of Carriage.

2. Agency Intermediary Role & Airline Disclaimer

FaresLocator functions as an independent online travel aggregator and booking agency. We provide comparison search technology, customer support, and reservation ticketing services that facilitate agreements directly between travelers and third-party travel providers, including commercial passenger airlines, charter operators, consolidators, and Global Distribution Systems (GDS).

Important Operating Carrier Notice

FaresLocator does not own, manage, crew, or operate aircraft. We do not determine flight departure schedules, aircraft equipment, baggage fees, gate assignments, or boarding sequences. The operating airline is solely responsible for fulfilling air transportation pursuant to its official Contract of Carriage.

3. User Eligibility & Passenger Representations

By transacting through FaresLocator, you warrant and represent that:

  • You are at least 18 years of age and hold legal competence to enter into binding contractual commitments.
  • All personal and payment information supplied by you across all forms and phone calls is true, accurate, current, and complete.
  • You hold express authorization from all passengers listed on the booking itinerary to make reservations and bind them to these Terms.
  • You will inform all traveling companions of these Terms, operating airline policies, health mandates, and entry requirements.

4. Pricing, Taxes & Ticket Issuance

All airfares displayed on FaresLocator are quoted in United States Dollars (USD) unless explicitly designated otherwise. In full compliance with U.S. Department of Transportation (DOT) Full Fare Advertising regulations, initial quotes reflect total pricing including base airfare, government excise taxes, passenger facility charges (PFC), segment fees, and airport security surcharges.

  • Dynamic Airline Inventory: Airfares are dynamic and fluctuate continuously based on airline seat availability. An online search quote does not guarantee a fare until payment is fully authorized and an official e-ticket number (13-digit ticket number) is generated.
  • Fare Discrepancies: In rare cases where an airline updates or withdraws a fare class while payment is processing, we will contact you immediately with revised options or issue an immediate void/refund.
  • Agency Service Fees: Nominal non-refundable agency processing fees may be included in the total ticket cost to cover concierge booking services and electronic distribution infrastructure.

5. Passenger Name Verification & Name Change Policy

Strict Airline Name Match Requirement:

Passenger names on airline tickets must match the government-issued photo identification (passport for international flights, REAL ID driver's license for domestic flights) character for character. Middle names and suffixes (Jr., Sr., III) should be provided as reflected on your official travel document.

Name Corrections & Non-Transferability: Commercial airline tickets are strictly non-transferable. Once an e-ticket has been issued, changing the passenger name to another person is strictly prohibited under international airline rules. Minor typographical errors (e.g., 1-2 character spelling corrections) are subject to airline approval, carrier change penalties, and agency administration fees.

6. Flight Coupon Sequence & "No-Show" Rule

Airline flight coupons must be used in the exact sequential order listed on your issued e-ticket itinerary.

Mandatory Airline No-Show Clause:

If a passenger fails to check in or board the first flight segment ("outbound leg") without prior airline authorization, the operating carrier will automatically classify the traveler as a "No-Show." Upon a No-Show event, the airline reservation system automatically cancels all remaining flight segments, including connecting flights and all return legs, with zero refund or credit value.

7. 24-Hour DOT Cancellation Rule & Voluntary Changes

In accordance with U.S. Department of Transportation regulations, travelers may cancel reservations within 24 hours of booking without penalty, provided the reservation was finalized at least seven (7) calendar days (168 hours) prior to scheduled departure.

  • Beyond 24 Hours: Voluntary cancellations or itinerary changes requested after 24 hours are governed strictly by the airline fare rules associated with your ticket class.
  • Non-Refundable Fares: Most economy and promotional fares are classified as non-refundable by the issuing carrier. If canceled, airlines may offer an airline flight credit valid for 12 months, minus carrier change fees.
  • Agency Assistance Fees: Voluntary changes, rerouting, or cancellations processed through our concierge desk incur an agency handling fee in addition to any airline-imposed penalties.

8. Airline Schedule Changes, Delays & Cancellations

Airlines reserve the right to alter flight departure times, swap aircraft types, adjust routing, cancel scheduled flights, or substitute operating carriers due to mechanical requirements, weather conditions, or air traffic control directives.

When an airline initiates a major schedule alteration (exceeding carrier thresholds) or cancels a flight, travelers may be entitled to free carrier rebooking or a full refund under DOT guidelines. FaresLocator will act as your advocate to secure airline rebooking or refund authorization, but is not responsible for secondary expenses such as hotel stays, missed connecting cruises, or personal transit costs.

9. Refunds & Airline Credit Settlement

All refund claims must be approved by the operating carrier before funds can be released. Once approved:

  • Refunds are credited solely to the original credit card, debit card, or payment instrument used during booking.
  • Airline refund processing periods typically take between 1 to 2 credit card billing cycles depending on the issuing bank and carrier clearinghouse.
  • Agency service fees, booking protection products, and emergency concierge surcharges are non-refundable.

10. Baggage Allowances & Ancillary Surcharges

Baggage policies, weight limitations, dimension thresholds, and carry-on allowances vary by operating airline and fare brand (Basic Economy vs. Standard Economy vs. Business Class).

Checked baggage fees, seat assignment fees, oversized equipment fees, in-flight WiFi, and pet transportation fees are charged directly by the operating airline at check-in or through their official website. Please review the operating carrier's baggage disclosure before departure.

11. Passports, Visas, Health & Entry Requirements

Traveler's Sole Legal Responsibility:

It is each passenger's sole responsibility to ensure they possess all valid travel documentation required by departure, transit, and destination governments. For international flights, passports must typically hold at least six (6) months of validity remaining beyond your intended return date.

Passengers must independently verify requirements for transit visas, tourist entry visas (e.g., ESTA, eTA), health declarations, and required vaccinations. FaresLocator accepts no liability if an airline denies boarding or immigration officials refuse entry due to missing documentation.

12. Prohibited Booking Practices

Airlines strictly prohibit specific ticketing tactics designed to bypass carrier tariffs. Customers agree not to engage in:

  • Hidden-City / Point-Beyond Ticketing: Purchasing a ticket with a connecting destination intended to be discarded at the intermediate stop.
  • Back-to-Back Ticketing: Combining two overlapping round-trip bookings to circumvent minimum-stay conditions.
  • Duplicate Reservations: Creating multiple speculative reservations for identical travelers on conflicting flight times.
  • Throwaway Ticketing: Purchasing round-trip tickets with the premeditated intent of abandoning the return leg.

13. Payment Verification & Fraud Prevention

All credit and debit card transactions are monitored for security. To protect cardholders against fraudulent activity, FaresLocator may require credit card verification (CCV) protocols, cardholder authorization forms, or government ID verification when bookings exhibit security flags.

Fraudulent chargeback attempts will be aggressively contested and turned over to legal counsel, payment arbitration bureaus, and credit rating agencies.

14. Limitation of Liability & Disclaimers

To the maximum extent permitted by applicable law, FaresLocator, its directors, officers, employees, and affiliates shall not be liable for any direct, indirect, punitive, incidental, special, or consequential damages resulting from:

  • Flight delays, mechanical cancellations, lost baggage, or denied boarding initiated by third-party airlines.
  • Acts of God, weather anomalies, pandemics, civil unrest, labor strikes, war, or governmental border closures (Force Majeure events).
  • Inability to access our online booking portal due to telecommunications interruptions or third-party server downtimes.

15. Dispute Resolution & Binding Individual Arbitration

Any controversy, claim, or dispute arising out of or relating to your flight booking, these Terms, or our services shall be resolved through binding individual arbitration administered by the American Arbitration Association (AAA) rather than in court.

Waiver of Class Action: You agree that any dispute resolution proceedings will be conducted exclusively on an individual basis and not as a plaintiff or class member in any class, consolidated, or representative action.
